Employee acts as Assistant to the Director in areas assigned. Duties require frequent external and internal contacts. Employee performs a wide variety of complex administrative duties. Frequent verbal and written communication is required internally and externally.
1. May prepare purchase orders, bids, negotiate contracts and recommend vendors to a supervisor.
2. Responsible for Academy records as assigned.
3. Responsible for oversight/performance of all aspects of telecommunications, mail, receiving, and copy rooms operations, as assigned.
4. Operates a variety of office equipment.
5. Maintains filing system and detailed records
6. Processes confidential information.
7. Screens calls, visitors and mail.
8. Composes, signs correspondence as designated by a supervisor.
9. Prepares department payroll time sheets.
10. Acts as intermediary for supervisor maintaining contacts with others
11. Drafts, edits, proofs, and compiles correspondence.
12. Schedules meetings, conferences, and travel etc., for department.
13. Supervises students and Regular Academy employees.
14. Supervises facilities employees and directs contractors as assigned.
15. Acts as public works coordinator with the conference staff and to others.
16. Other duties as assigned.
