Employee reports to the Director of Facilities Management or his/her designee. Employee is responsible for coordinating purchases for campus departments as assigned and specifically for the T/S State of Maine including MARAD, GSA and general items and for coordinating needs with agents and other officials while the vessel is underway.
1. Responsible for researching suppliers, processing purchase orders, tracking and periodic reporting. May assist ship’s officers in the use of MARAD’s NS5 procurement system as assigned.
2. Responsible for liaison with MARAD officials regarding reimbursable stores, spares and supplies; for tracking reimbursable materials and preparing invoices for repayment.
3. Acts as primary shore-side contact to ensure provision of all necessary items while T/S State of Maine is on cruise. Handles all materials forwarding, shipping and customs arrangements.
4. Responsible for GSA purchasing and system tracking and reports as they relate to the Training Vessel.
5. Operates all office equipment.
6. Maintains detailed records of all purchasing transactions.
7. Selects vendors and processes purchase orders for other departments as directed.
8. Screen calls, visitors and mail.
9. May act an intermediary for supervisor maintaining contacts with others, resolving complaints and providing systems and operations information.
10. Provides back-up for mail delivery, freight and receiving duties as necessary.
11. Receives work order requests and issues them to working crews on a priority basis.
12. May act as department contact with the general public.
13. May supervise students and/or Academy employees.
14. Performs other duties as assigned.
