STATEMENT OF JOB

The Facilities Systems Specialist is responsible for the implementation and management of facility systems that facilitate a strategic, integrated approach to a safety program, deferred maintenance, receiving, and scheduling. Responsibilities include the design and generation of various programs, systems and reporting systems to plan for and prioritize both deferred and planned maintenance based on historical work order data, best practices, and benchmarking data; and to implement and utilize those systems within the Facilities organization.

DUTIES OF THE JOB

1. Works with all Facilities staff to identify and understand the Facilities program objectives and ensure that these objectives are supported with systematized procedures that maximize the organization’s effectiveness.
2. Acts as the support for all Facilities systems to include material receiving systems, work order tracking systems, and deferred maintenance planning and prioritization.
3. Responsible for the developing, documenting, and organizing of internal procedures as they relate to Facilities.
4. Creates, implements and utilizes an automated system for material receiving for the institution.
5. Creates a system to collect and assess work order data in order to implement planned maintenance systems and deferred maintenance prioritization.
6. Uses advanced reporting tools and complex queries such as ARGOS to design and create reports, dashboards, and data output to support Facilities’ efforts.
7. Conducts, edits and confirms data entry for receiving and work order programs.
8. Trains Facilities’ personnel on the use of the systems where appropriate.
9. Coordinates and collaborates with Information Technology for problem resolution and implementation of new procedures and protocols.
10. Other duties as assigned.
